Year-end books rebuilt from raw statements

A small business owner came to me with a filing deadline close and no bookkeeping for the year, just a pile of bank and credit card statements. Their accountant got finished books that balance to the penny, ahead of the deadline.

A loose pile of statements beside the same papers squared into a neat clipped stack and a ledger book

The Challenge

The year's records lived in four bank accounts, five credit cards and a vehicle loan, and some of the statements were scans with no readable text. The accountant needed three finished reports, and the owner's personal tax filing depended on one of them. So speed mattered, and so did every figure being right.

What I Built

  • Read, categorized and cross-checked all 2,246 transactions for the year
  • Proved the method first, by rebuilding the previous year's finished books from the same kind of documents and matching all 107 figures exactly
  • Typed up the scanned pages and checked them against the bank's own daily balances, 55 checkpoints, every one exact
  • Ran ten automated checks on every change, and had a second AI review the whole job three times looking for my mistakes, which it found and I fixed
  • Wrote a two-page summary for the accountant, listing each decision that was theirs to make, with the facts behind it

Results

2,246 transactions Balanced to the penny 107 of 107 prior-year figures matched Finished ahead of the deadline
